Frequently Asked Questions

Everything you need to know about bottle tracking, membership, data privacy, and features.

🍷 Getting Started

Do I need to be an expert on wines or spirits to use this?

Not at all! All Your Bottles is built for everyone—from casual dinner enthusiasts to passionate collectors. You don't need to know anything technical: just snap a quick photo of the label with your phone, or type whatever name you see on the bottle. Once saved, our system processes the bottle to automatically fill in the region, grape blend, producer background, and drinking windows for you.

How do I add a bottle to my collection?

Adding a bottle is effortless, whether you prefer photos or quick typing:

Snap a photo (Fastest): Simply take a picture of the front label with your phone's camera or upload an image. Our AI instantly recognizes the bottle and fills in the details.
Type the name: If you prefer typing, just enter the name of the wine or spirit and a few basic details (like vintage or producer)—or pick from our 200,000+ reference catalog.
Automatic system enrichment: Don't worry about looking up grape varieties, regions, or technical specs yourself. Once a bottle is added, our system automatically processes it in the background to provide full bottle details, drinking windows, terroir background, and sommelier pairing recommendations.

What is the AI Sommelier and how does it work?

The AI Sommelier instantly gathers terroir notes, vintage histories, optimal drinking windows, and culinary food pairings for any bottle in our catalog. Only generic bottle specs (e.g. "2015 Barolo Monfortino") or uploaded label images are analyzed. Your personal user details, purchase prices, and private notes are never shared with AI providers.

What is the difference between "My Bottles" and "Inspiration"?

"My Bottles" represents your personal physical inventory—the bottles currently in your collection or finished in your tasting history. "Inspiration" is our global catalog where you can discover new wines and spirits, view AI profiles, and log tasting notes for bottles you've tasted without adding them to your physical inventory. Inspiration tasting notes do not count toward your tier limit.

💰 Membership & Pricing

Is the site really free?

Yes! You can use All Your Bottles for free to manage an inventory of up to 25 bottles. You will also get full access to all wine and spirit information in our global catalog. While AI recognition of labels is available for free users, instant AI recognition is reserved for our premium members.

What are the benefits for premium users?

Casual Collector members can track up to 99 unique products with 15 instant AI scans per day, high-precision fractional ratings, and public share links. Collection Master members enjoy unlimited product tracking, unlimited instant AI scans, AI Food Pairing with Priority Inference, printable tasting & wine menus, and Shared Collections. (CSV Data Export is free for all members).

How does the bottle limit work? Are physical quantities counted?

We count unique products, not physical bottles! If you own 12 bottles of the exact same 2018 Rioja, it counts as just 1 unique product entry toward your limit. You can track unlimited physical bottle quantities for that product. Both active bottles in your collection and bottles in your Finished History count toward your limit. Deleting unwanted entries permanently frees up immediate capacity!

How do I upgrade my membership?

You can upgrade your membership at any time on the Membership tab. We use an internationally recognized payment solution to handle payments safely. All major credit cards as well as several national payment options are available.

What happens if my membership expires or I downgrade?

Your collection data is never deleted! All your registered bottles, purchase records, ratings, and personal tasting notes remain safely stored and fully accessible. You can always export your complete collection to CSV at any time for free. However, if your unique product count exceeds your new tier limit, you won't be able to add new bottles until you free up space (by deleting unwanted entries) or renew your membership. Tier-specific capabilities (such as daily instant AI scan quotas) adjust to your active tier, and shared collections shift to read-only view mode for invited collaborators until renewed. If you ever choose to delete your account, purely personal data is erased immediately, objective catalog contributions (wine profiles and label photos) remain anonymous, and statutory billing receipts are retained for 5 years per Bogføringsloven § 10.

What payment methods are accepted?

We use an internationally recognized payment solution to handle transactions securely. All major credit cards (Visa, Mastercard, American Express) as well as popular regional and national payment options are supported.

Why are memberships billed quarterly instead of monthly?

To keep our membership rates exceptionally low, we bill quarterly rather than monthly. Fixed bank and credit card processing fees consume a disproportionate share of small monthly micropayments. By bundling payments every three months, we eliminate redundant transaction overhead and pass the entire savings directly on to you—delivering premium cellar management at rock-bottom prices.

🔒 Privacy & Security

Will I get spammed or see ads?

No! All Your Bottles is 100% ad-free and respects your inbox. We only send essential account notifications. If you choose to subscribe to occasional site updates, you will receive news about new features and platform improvements—and you can unsubscribe at any time with a single click.

How do I delete my account and personal data?

You can securely delete your account at any time under Settings in the Danger Zone section. When you delete your account, your personal data, inventory, purchase history, and private tasting notes are permanently removed. Objective catalog contributions (such as wine names, producer details, or uploaded label photos) are retained anonymously to maintain the integrity of the global registry.

What personal data do you collect?

We collect minimal credentials upon registration: your username, email address, and password (stored securely as a cryptographic hash), plus your optional country of residence. We do not deploy tracking cookies or display ads. Your private tasting notes and purchase histories remain confidential. When utilizing our AI features, only generic bottle specifications and uploaded label images (for recognition purposes) are processed by a leading AI provider.

Is my data secure? Where is it stored?

Yes. Passwords are cryptographically hashed, and all requests are protected using modern web security protocols. Our service and database infrastructure are securely hosted on a European cloud provider (bunny.net).

How are my privacy choices protected under GDPR?

We strictly enforce your privacy settings across all API endpoints and database queries. Private reviews and personal tasting notes are filtered out from all public feeds and global profile endpoints. You hold full ownership of your content and can delete or hide it at any time.

Can global bottle details be changed, and how does that affect my private data?

To maintain the highest catalog data quality across 200,000+ reference records, our experts and automated quality hygiene engines may refine and standardize public bottle metadata (such as canonical appellation spelling, official classification tiers, or LWIN links). However, your private user data—including personal purchase prices, purchase dates, seller notes, private tasting notes, ratings, and physical inventory bottle counts—is strictly isolated to your private account and is NEVER altered or overwritten.

📱 App & Technical

Can I export my collection data?

Yes, your data belongs to you completely and non-committally. You can export your entire collection, including purchase history and personal notes, as a CSV file for free at any time under Settings, as well as download a complete machine-readable GDPR personal data archive in JSON.

What happens when I delete a bottle from my collection?

When you delete a bottle from your collection, it is placed in the Recycle Bin (found under Settings) and instantly frees up space in your capacity limit. Bottles in the Recycle Bin are automatically and permanently purged after 14 days. When a bottle is permanently purged (either automatically or manually by you), its purchasing history is lost forever. However, your personal tasting notes and community ratings are always preserved safely.

Is there a mobile app? How do I install it?

All Your Bottles is built as a Progressive Web App (PWA). It delivers a fast, responsive mobile experience without needing an app store download. You can install it directly to your home screen! On iOS (Safari): tap the Share button and select "Add to Home Screen". On Android (Chrome): tap the menu dots and select "Install App" or "Add to Home screen".

Does All Your Bottles work offline?

The app caches core interface components for fast loading. While an active internet connection is needed to search the global catalog, sync changes, and request AI profiles, basic application screens will load instantly when launched from your home screen.

👥 Community & Support

How do shared collections work?

Collection Master members can create Shared Collections (or Shared Racks) and invite partners, family, or friends using their username, email, or an instant join link. Bottles added to a shared collection count against the collection owner's capacity limit, so invited members do not consume their own personal account bottle limits. Everyone can view, add, or deduct bottles in real-time while preserving individual private tasting notes. If the collection owner ever downgrades, invited members retain full read-only view access so no data is lost. If an invited member leaves, any bottles logged in that shared collection remain safely preserved with the collection.

What happens if a bottle I submitted is rejected or archived from the global catalog?

Don't worry! Your personal collection is always safe. Even if a bottle submission is not added to the public catalog or an existing catalog record is archived, your personal bottle entries, purchase details, ratings, and tasting notes remain completely intact in your private collection.

Can I write bottle reviews? Are they public?

Yes! You can rate and review any bottle in our global catalog. Community reviews and star ratings are public and displayed alongside your username to help fellow collectors. Your personal tasting notes in your collection remain completely private (except to members you explicitly invite to a Shared Collection).

What is the difference between a Community Review and a Personal Tasting Note?

Personal Tasting Notes are your private tasting journal—strictly private to your account (and invited members of a Shared Collection) and never published. Community Reviews are your public voice—designed to share ratings and thoughts with fellow collectors globally, with full control to toggle privacy at any time.

Who can see my Community Reviews?

If you set a review to "🌐 Share publicly", it appears on the wine profile page with your username. If you set it to "🔒 Keep private", it is only visible to you when logged into your account.

How do I switch a review between public and private?

You can switch any review at any time! In the wine's detail modal under the "My Experience" panel, select the visibility option ("Share publicly" or "Keep private") and save. Alternatively, on any of your own review cards, click the visibility badge (🌐 Public / 🔒 Private) to instantly toggle its privacy state.

How do I permanently delete a review I wrote?

Open the bottle details for the entry you reviewed, go to the "My Experience" panel, and click the "🗑️ Delete Review" button. This permanently removes your rating and review from the database.

How do I set my default review visibility?

Navigate to your Settings tab under Account Configuration. You can choose whether new reviews default to "🌐 Public" or "🔒 Private". This setting applies to all future reviews you write without changing existing reviews.

Can I import my collection from another app?

Yes! Under Settings, you will find our CSV Import tool. Simply export your collection as a CSV file from your current app (such as Vivino or CellarTracker) and drop it into the importer. Our system will match the bottles and add them to your active collection.

How do I contact support or submit feedback?

Once logged in, you can click the 💬 Send Feedback button available in the app to submit general comments, feature suggestions, or bug reports directly to our development team. You can also reach us via email at contact@allyourbottles.com.
